Job Description

Would you like to work at one of the nation’s most respected, mission-driven organizations? If so, the American Academy of Pediatrics (AAP) is seeking a Program Coordinator, Early Childhood Healthy Development to provide administrative and program coordination for assigned early childhood projects, supporting resource development, educational program development and delivery, and technical assistance provision. This person will manage the AAP Screening, Technical Assistance, and Resource (STAR) Center website, as well as support budget monitoring, contract/agreement management, and meeting and travel logistics.

Hours: 8:00am – 4:30pm, with a 1-hour lunch. 37.5 hour workweek.

Qualifications needed:

Bachelor’s degree in business administration, public health, health care, or social sciences required or an equivalent combination of related education and work experience.

At least two years’ related administrative or project coordination experience required, preferably related to public health programs, including meeting planning and budget tracking/coordination.

Experience working with educational programming, electronic survey development/dissemination, technical writing, grants, health promotion, and/or editing/maintaining web maintenance preferred.
Previous medical association work desirable.
Excellent organizational, time management, oral/written communication, diplomacy, interpersonal, and critical thinking skills required, including strong writing and proofreading skills.

Must be able to work both independently and as part of a team, think creatively, coordinate multiple projects simultaneously, collaborate effectively with various internal and external constituents, and promote and maintain a positive and cooperative team-oriented work environment with a commitment to equity, diversity, and inclusion.

Some overtime, weekend work, and travel required.

Some tasks include:

Assist in the development and management of early childhood grant project budgets. Design and manage budget tracking systems and process grant expenses, check requests, credit card statements, and invoices. Provide monthly budget reports to relevant project and Finance staff.

In collaboration with project team, develop and manage contracts/agreements for subcontractors and consultants.

Provide project management support to ensure timely completion of activities, including updating the project management system and managing follow-up communications with project consultants, participants, and advisory group members.

Contribute content and design expertise and organize webinars, presentations, support resources, project reports, promotional materials, and other written and presented materials.
Provide technical support for virtual meetings, webinars, and other educational events.

Maintain the AAP Screening, Technical Assistance and Resource (STAR) Center web site, including posting online content, monitoring links, and responding to technical assistance requests.
Participate in content development and revision to ensure site remains current.
